Position:      Office Associate

General Job Summary:

This is a part-time position (30-35 hours per week) located at the Emmetsburg Campus. Primary responsibilities are to assist the Registrar with transcript data entry, enrollment verification, Datatel student advisor list clean-up, maintain advisor-advisee lists, imaging student records and transcript request and distribution. A sincere commitment to customer service and exceptional communication skills are necessities.

1.   Constant

(67-100%)

  1. Maintain student transcripts and send to students and former students as requested.

  2. Enter transcript data.

  3. Provide verification of student enrollment.

  4. Perform clerical tasks.

 

 

2.   Frequent

(34-66%)

  1. Provide support to records office.

  2. Answer telephone, deliver messages, and answer questions.

  3. Student advisor list clean-up.

  4. Prepare student files for imaging.

  5. Scan documents onto imaging disk.
 

3.   Occasional

(10-33%)

  1. Attend and participate on voluntary and assigned committees.

  2. Assume duties of other employees during their absences as needed.

  3. Shred documents no longer needed.

  4. Other duties as assigned.

  

Knowledge, Skills, and Abilities:  
  1. Ability to access, input and retrieve information from a personal computer.

  2. Represent the College in a positive manner with prospective, former and current students, staff and the community.

  3. Must be enthusiastic and energetic in performance of assigned duties and responsibilities.

  4. Thorough knowledge of office procedures, telephone techniques and office equipment, as well as correct English usage, grammar, punctuation and arithmetic.

  5. Must be dependable, flexible, and willing to learn about upgrades in software used in the office.

  6. Ability to read and understand written and oral instructions or communications.

  7. Ability to effectively perform tasks in an environment of frequent interruptions.

  8. Ability to assume responsibility, deal effectively with problems and exercise good judgment when making decisions.

  9. Must be enthusiastic and energetic in performance of assigned duties and responsibilities.

Special Demands:

Sedentary to light work. Position involves sitting most of the time; exerting up to 20 pounds of force occasionally (10-33%). Stooping, kneeling, crouching, pushing, pulling, and carrying occasionally (10-33%). Walking, lifting, grasping and repetitive motion frequently (34-66%). Talking, hearing and viewing various types of close visual work constantly (67-100%). May be required to travel utilizing personal vehicle. Must have valid driver’s license, good driving record and provide proof of insurance.

Employment with Iowa Lakes Community College is dependent upon successful passage of a criminal background check.

Minimum Qualifications:  

High school diploma or equivalency required. Associate Degree and a combination of secretarial/clerical experience or post-secondary training in appropriate area equivalent to three years experience preferred. Excellent knowledge of computers is required. Prior community college and Datatel experience desired.

Salary: $8.20 per hour

Fringe Benefits:  Vacation and sick leave.
