Position:      Secretary Office Associate I
Classification: Classified

Report to:  Director of Nursing and Health Education

           

General Job Summary:

This is approximately a 32 hour/week position in the Nursing Office at the Emmetsburg Campus. Under limited supervision performs secretarial and clerical duties related to nursing program admissions, make-up lab scheduling and nursing lab inventory.  Confidentiality in handling student records and a sincere commitment to customer service is a necessity.

1.   Constant

(67-100%)

  1. Performs secretarial duties related to nursing student admission process including word processing, filing, sorting, copying, and issuing letters.

  2. Initiates and maintains current and prospective nursing student database using Access and Datatel.

  3. Maintains current student class list.

  4. Assists coordinator with student orientation process (send out letters, contact students).

  5. Answers inquiries or questions from students, instructors, and others regarding student admission status.

  6. Attends scheduled coordinator meetings and takes minutes.

 

 

2.   Frequent

(34-66%)

  1. Maintains current student files for physicals, immunization records, Mantoux testing and CPR certification.

  2. Schedules student for clinical make-up days.

  3. Maintains lab inventory for all campuses with nursing programs and assists director and faculty with budget procedures related to lab purchases.

  4. Assists faculty in obtaining supplies for skills lab stations.

  5. Performs secretarial and clerical duties and assigned projects for the Nursing program.
 

3.   Occasional

(10-33%)

  1. Provides data for admissions department monthly board report.

  2. Substitutes for nursing program secretary during vacations, illness, or other absences.

  3. Maintains MSDS notebook.

  4. Attends scheduled faculty/program curriculum meetings as requested.

  5. Performs other duties as assigned.

  

Knowledge, Skills, and Abilities:  
  1. Must be enthusiastic, energetic, and flexible in performance of assigned duties and responsibilities.

  2. Represent the College in a positive manner with prospective, former and current students, staff and the community.

  3. Demonstrates ability to access, input and retrieve information from a computer for word processing, spreadsheets, databases (Access) and Datatel.

  4. Works collaboratively with Nursing Program Secretary.

  5. Requires thorough knowledge of office procedures, telephone techniques and office equipment, as well as correct English usage, grammar, punctuation and arithmetic.

  6. Demonstrates ability to read and understand written and oral instructions or communications.

  7. Demonstrates ability to effectively perform tasks in an environment of frequent interruptions.

  8. Exercise good judgment when making decisions and deals effectively with problems.

  9. Possesses ability to multi-task.

  10. Requires a high level of accuracy and maintains confidentiality.

Special Demands:

Sedentary to light work. Position involves sitting most of the time; exerting up to 30 pounds of force occasionally (10-33%). Stooping, kneeling, crouching, pushing, pulling, and carrying occasionally (10-33%). Walking, lifting, grasping and repetitive motion frequently (34-66%). Talking, hearing and viewing various types of close visual work constantly (67-100%). Must have valid driver’s license, good driving record and provide proof of insurance. May be required to travel utilizing personal vehicle.

Employment with Iowa Lakes Community College is dependent upon successful passage of a criminal background check.

Minimum Qualifications:  

High school diploma or equivalency required. A combination of secretarial/clerical experience or post-secondary training in an appropriate area equivalent to three years or an appropriate Associate Degree preferred. Word processing experience required; spreadsheets, database, machine transcription and note taking skills beneficial. Must display good personality traits and be able to meet the public in a positive way.

Salary: $8.20 per hour
